The 20 prompts most teams actually need

If you're starting from scratch, build out these categories first. Almost every team ends up with roughly the same core:

Writing and communication (5-7 prompts)

  • Rewrite this in [our brand voice] (with examples)
  • Summarize this meeting transcript into decisions, actions, and open questions
  • Draft an email saying [X] in a [tone]
  • Turn this outline into a first-draft blog post
  • Edit this draft without rewriting it

Engineering (5-7 prompts)

  • Review this PR — structured feedback, must-fix vs. should-fix vs. nit
  • Write Vitest/Jest tests for this function with edge cases
  • Explain this code in 3 layers (one-liner, design choices, surprises)
  • Propose 3 refactor approaches with trade-offs, don't refactor yet
  • Debug: hypothesize top 3 causes of this bug, don't fix yet

Sales / customer-facing (3-5 prompts)

  • Research this account: key people, recent news, likely priorities
  • Draft a reply to this customer email (tone, next step, boundaries)
  • Summarize this call into CRM notes
  • Objection handling for [common objection]

Internal / operations (3-5 prompts)

  • Job description skeleton for [role]
  • Meeting prep: 3 things to communicate, 3 things to learn, 2 objections
  • OKR / goal critique (measurable, outcome-oriented, realistic)

Start with this spine. Add domain-specific prompts (legal review templates, research questions, product briefing structures) as the team's use patterns emerge.

How to gather prompts from your team

A practical workflow that actually works:

  1. Schedule a 45-minute "prompt show-and-tell." Each person shares their 3 most-used prompts.
  2. Collect everything in one doc. Don't curate yet.
  3. Owner reviews and consolidates. Near-duplicates get merged. Underperforming prompts get cut. Top 20-30 get cleaned up.
  4. Publish to the library. Inside the AI tool, ideally.
  5. Announce + demo. "Here's the library, here's how you use it. Use these first, suggest improvements in [channel]."

Option 4: Notion / Confluence page (avoid if possible)

Works as a starting point but usually dies. Too much friction between "I want to use this" and the prompt being in my clipboard.

The contribution flow

A stock problem: 2-3 enthusiastic people build the library, everyone else uses it, and it stops evolving. Avoid this with a simple contribution pattern:

  1. Anyone can suggest a new prompt via a form or DM to the owner.
  2. Submissions include: use case, model tested, 2-3 example outputs.

What to track

Lightweight metrics that signal health:

  • Number of prompts (healthy range: 20-100, depending on team size).

  • Unused prompts (candidates for retirement).

  • Cross-team use (are only engineers using the library? Then marketing hasn't bought in yet).

You don't need a dashboard for this. Owner asks once a month: "what's most used? what's least? what should we retire?"

Anti-patterns to watch for

  • The dumping ground. Everyone adds everything. Nobody curates. Library bloats. Stops being useful.
  • The perfect-is-enemy-of-good trap. Owner won't publish until every prompt is perfect. Library never launches.
  • The one-off-heavy library. 40 ultra-specific prompts for one person's workflow. Not reusable. Not actually a team library.
  • The inside-joke prompt. Prompt title or description requires context. New hires don't know what it does. Use it anyway. Breaks.
  • The "we'll build it once we grow" excuse. 5-person team already wastes 20+ minutes/day on re-typing prompts. Build it at 5, not 50.

If your prompts include reference material (brand guidelines, style guides, internal policy), treat the library like any other internal knowledge: don't mix confidential material with a library that non-employees could see.

If you ever export prompts to a vendor's cloud tool (some "prompt management" SaaS), read the data policy carefully. Your prompts ARE intellectual property — often surprisingly valuable IP.
